I had a meeting yesterday in NYC in a shared office space, Grind Space, which was overflowing with twenty and thirty something entrepreneurs. All this crowd needs to work is a desk, a triple redundant internet connection, and an endless supply of caffeine. On their headsets and laptops, they collaborate with associates spread out all over the world. Way cool.
My friend, an inspiring serial entrepreneur himself, said that every one of them was obsessed with finding better tools for managing productivity. They all love David Allen’s Getting Things Done, and sang the praises of a new software for the Mac, OmniFocus, that helps you organize your numerous “to do” items and then sort them in clever ways by context (across Mac, I-Pad and I-Phone devices.) It integrates seamlessly with GTD. I can’t wait to get started.
But the problem isn’t just organizing our OWN overflowing in-boxes, it's figuring out how to delegate as much as possible, to people who are good at taking responsibility. Then you may need to follow up to make sure it’s happening – and who has time for that? As soon as you take the step into a more complex organization – even if its virtual – I think you can benefit from the RACI tool. Delegation gets clearer and better when you give someone the “R” and they know what it means. Decision-making gets clearer and faster when everybody knows who has the A. Expertise is defined pretty crisply when you tell someone on your team to go consult with Joe before they finalize their plan – he has a strong C.
RACI isn’t just a tool for highly trained project managers with 400-500 item IT projects to bring in on time and under budget. It's for the rest of us, too, trying to manage our out-of-control lives.
